Managing your schedule shouldn't feel like a second job. Syncing RepCard with your Google or Outlook calendar ensures you never double-book a lead and keeps your availability accurate in real-time.
⚠️ Important Note on Syncing: Once you complete the steps below, please allow up to 24 hours for existing appointments to populate. To verify the sync is working immediately, try adding a new appointment directly to your RepCard calendar.
Step 1: Navigate to Calendar Settings
Log in to the RepCard app.
Tap the Settings (Gear Icon) in the top right corner of the home screen.
Select Calendar Settings. This will open the main interface where you manage your external connections.
Step 2: Connect Your External Accounts
You can sync up to five (5) different accounts (Google or Outlook) to help RepCard determine your true availability.
Tap the + Add Calendar button.
A drawer will appear at the bottom with options for Google and Outlook.
Tap the Connect button next to your preferred provider.
You will be redirected to a web browser to sign in to your email account.
CRITICAL STEP: When prompted, you must check the box to allow RepCard to see, edit, and share your calendar data. If this isn't checked, the sync will fail.
Step 3: Manage Individual Calendars
Once connected, you'll be redirected back to the app. You can now choose which specific sub-calendars (e.g., "Work," "Personal," or "Family") RepCard should watch for conflicts.
Tap on the newly added account email address.
In the bottom drawer, check or uncheck the specific calendars you want to sync.
Tap Save.
Step 4: Toggling and Pausing Sync
If you need to temporarily stop the flow of data without deleting the account:
Locate the account under Availability Calendars.
Use the Toggle Switch to turn sync on or off.
Turning it off will pause the data flow; simply confirm the choice in the popup that appears.
Step 5: Choose Where to Save New Appointments
While you can check five calendars for availability, you can only pick one specific calendar where new RepCard appointments will be created.
Look for the section labeled Add Appointments to this Calendar.
Tap the Pencil Icon to edit.
Select the specific account and the exact calendar (e.g., your primary "Calendar") where you want your leads to appear.
Tap Save.
Step 6: Customize Your Reminders
Never walk into a meeting cold. You can set personal reminders for your synced events.
Under Personal Calendar Reminders, tap into Notification, Text, or Email.
Choose your preferred lead time (e.g., 15 minutes before) or select Never to silence them.
Pro-Tip: Data Integrity
It's important to remember that this is a one-way street for deletions. If you delete or decline an appointment inside your Google or Outlook app, it will not be canceled in RepCard. To officially cancel or remove a lead from your schedule, you must do so from within the RepCard app.
A great final point for troubleshooting focuses on what to do if the "Connect" process seems to hang or fail during the initial setup.
Clear Your Cache: If you click "Connect" and the browser page doesn't load or gives you an error, try clearing your mobile browser's cache or opening the link in "Incognito" mode. This ensures old login credentials aren't blocking the new RepCard connection.
