Managing Users in RepCard: Deactivate, Remove, or Reactivate
RepCard now allows you to either deactivate a user (disabling their login but keeping their data) or remove them entirely from your company account. These actions are available only via a web browser.
Follow the steps below or watch the tutorial to manage your users.
1. Access the User Management Page

Log into your RepCard account using a web browser.

Click Users from the left-hand navigation menu.

Locate the user you wish to manage.

Click the red action button next to their name.

Choose either Deactivate or Remove.
2. How to Deactivate a User (Temporarily Disable Access)
Deactivating a user will:
-
Disable their login access.
-
Keep all their data (contacts, appointments, and leaderboard stats) in the system.
-
Prevent them from being assigned new tasks or appearing in dropdown selections.
Steps to Deactivate:

Select Deactivate.
-
(Optional) Reassign their:
-
Leads
-
Customers
-
Recruits
-
Custom areas (if they created any)
-
-
Choose a new user to receive the data (if reassigning).

If you prefer not to reassign now, you can do it later from your admin account.

In the confirmation box, type
DEACTIVATE
in all capital letters (this is case sensitive). -
Click Deactivate to confirm.
✅ The user will now appear grayed out with a red "X" next to their name in your user list.
3. How to Remove a User (Permanently Delete)
Removing a user will:

Delete their login access permanently.
-
Optionally reassign or delete their company-associated data.
-
Retain any contacts the user brought into the company personally.
Steps to Remove:

Select Remove.
-
Decide what happens to their data:
-
Keep and reassign to another user.
-
Delete it from the company.
-

If keeping data:
-
Reassign their leads, customers, recruits, and areas.
-

In the confirmation box, type
REMOVE
in all capital letters. -
Click Remove to confirm.
⚠️ This action is permanent and cannot be undone.
4. How to Reactivate a Deactivated User

In the Users page, find the deactivated user.

Click Reactivate.

In the confirmation field, type
ACTIVATE
in all caps. -
Click Reactivate to restore their login access.
🔁 Their access is immediately restored, and they can resume working as normal.
Cautionary Notes
-
Ensure all selections are made carefully as actions are permanent and cannot be undone.

Always double-check the case sensitivity when typing commands (DEACTIVATE, UNLINK, ACTIVATE).
