Bulk User Management in RepCard: Deactivation, Reactivation and Removal Process

As a company owner or admin, you can efficiently manage your team’s user accounts through the RepCard web dashboard. This guide explains how to mass deactivate, reactivate, and remove users from your company account. For a video tutorial, please scroll to the bottom of this article.


Billing Note

Deactivated and removed users do not count toward your monthly billing.
You are only billed for active users. Once a user is deactivated or removed, they will no longer be included in your subscription charges.


Mass Deactivating Users

Deactivating a user disables their login access but all their data remains in your company account. Their contacts, activities, and performance will still be visible across RepCard (e.g., on maps, leaderboards, and contact pages).

How to deactivate users in bulk:

  1. Log in to your RepCard account via a web browser.
  2. From the left-hand menu, click Users.
  3. Select the users you want to deactivate using the checkboxes next to their names.
  4. Click Deactivate at the top of the page.
  5. In the pop-up window, select Deactivate to proceed.
  6. (Optional) If you want to transfer contact ownership, make your selection here.
  7. Type Deactivate (case-sensitive) into the confirmation box.
  8. Click Deactivate again to confirm.
  9. A success message will appear, and a red “X” icon will show next to each deactivated user’s name.

Note: Scheduled texts and campaigns for deactivated users will be canceled. Their contacts remain visible across your company account.


Mass Reactivating Users

Reactivating a user restores their login access and returns them to active status within the company.

How to reactivate users in bulk:

  1. Go to the Users section.
  2. Use the filter menu to display only Deactivated Users.
  3. Select the users you want to reactivate.
  4. Click Activate at the top of the page.
  5. In the pop-up window, select Activate to proceed.
  6. Type Activate (case-sensitive) into the confirmation field.
  7. Click Activate again to confirm.
  8. A success message will confirm their reactivation, and their status will update immediately.

Mass Removing Deactivated Users

Removing users permanently deletes them from your company account. Only deactivated users can be removed.

How to remove deactivated users in bulk:

  1. From the Users section, filter to show Deactivated Users.
  2. Select the deactivated users you want to remove.
  3. Click Remove.
  4. In the pop-up window, select Remove to proceed.
  5. Choose what should happen to their contacts:
    • Stay with User: Any contacts the user created while under the company will remain associated with that user.
    • Stay with Company: Any contacts the user created while under the company will stay with the company. You will need to reassign ownership and areas as needed.
  6. Type Remove (case-sensitive) to confirm.
  7. Click Remove.
  8. A confirmation message will appear, and the users will be removed from your company account.

Removing a user is permanent. Be sure to reassign any owned areas or contacts beforehand if you select "Stay with Company."


Summary

  • Deactivated users can retain their data but lose login access.
  • Removed users are permanently deleted from your company account.
  • Neither deactivated nor removed users count toward your monthly billing. Only active users are billed.
