How to Set Up a RepCard Integration Using Zapier

⚠️ Note: This guide uses example workflows to demonstrate how RepCard can integrate with Zapier. Your exact setup may vary depending on your CRM, app configuration, and workflow needs. Be sure to adapt each step to match your tools and goals.


🚀 What is Zapier?

Zapier is a no-code automation platform that connects RepCard to over 6,000 other apps. These include CRMs like:

  • JobNimbus
  • Go High Level (via LeadConnector)
  • AccuLynx
  • Roofer
  • HubSpot
  • Google Sheets
  • ...and many more!

Zapier enables you to create automated workflows ("Zaps") between RepCard and these tools.


✅ Prerequisites

Before you begin, make sure you have:

  • Admin access to RepCard (to retrieve your API key)
  • A Zapier account (free or paid)
  • Access/API key for your CRM or app

🔒 Different apps connect to Zapier in different ways — some use API keys, others use login credentials

 

 

🔁 Common Use Cases (with Setup Instructions)

We'll walk through how to set up three of the most common RepCard automations:


1. Create a CRM Contact When an Appointment is Booked in RepCard

Example: Book an appointment in RepCard → Automatically create a contact in JobNimbus

Step-by-Step:

  1. Log in to Zapier and click Create > Zaps
  2. Name your Zap (e.g., Appointment to JobNimbus)
  3. Set the Trigger:
    • App: RepCard
    • Event: Appointment Set
  4. Connect your RepCard account using the API Key:
    • Go to your RepCard backend → Settings → Integrations/Connectors
    • Click Generate API Key, then Save
    • Copy the key and paste into Zapier when prompted
  5. Set the Action:
    • App: JobNimbus
    • Event: Create Contact
    • Connect using your JobNimbus API key
  6. Map the fields:
    • Display Name: First Name + Last Name (from RepCard)
    • Email: Contact Email
    • Phone: Contact Phone
    • Address: Contact Address, City, State, ZIP
    • Notes: Any internal notes
    • Sales Rep Name: User First Name + Last Name
    • Date Created: Created At
  7. Click Test Step (optional) or Skip Test
  8. Click Publish to activate your Zap

💡 For Go High Level users: Use the app LeadConnector, not “Go High Level”.


2. Create a CRM Contact When a Contact Status Changes in RepCard

Example: Status in RepCard changes to Appointment Scheduled → Create contact in JobNimbus

Step-by-Step:

  1. Create a new Zap in Zapier
  2. Set the Trigger:
    • App: RepCard
    • Event: Status Changed
    • Select the statuses you want to trigger the contact creation (e.g.):
      • Appointment Scheduled
      • Follow-up
      • Callback
      • Hail Damage
  3. Set the Action:
    • App: JobNimbus
    • Event: Create Contact
    • Map the fields as needed
  4. Test and Publish your Zap

⚠️ We recommend avoiding the New Contact Created trigger, as it may add every single door knock into your CRM — even "Not Home" entries.


3. Log Appointments in Google Sheets

Example: Book an appointment in RepCard → Log details in a Google Sheet

Step-by-Step:

  1. Create a new Zap
  2. Set the Trigger:
    • App: RepCard
    • Event: Appointment Set
  3. Set the Action:
    • App: Google Sheets
    • Event: Create Spreadsheet Row
    • Choose your spreadsheet and worksheet
    • Map fields such as:
      • Date & Time: Appointment Start Time (Pretty)
      • Closer Name: Closer First + Last Name
      • Setter Name: User First + Last Name
      • Notes: Contact Notes
  4. Test and Publish
  5. Once active, every new appointment will populate a new row in your selected spreadsheet.

🧠 Final Notes

  • The fields available in the Action step (e.g., JobNimbus, Google Sheets) are pulled directly from your CRM or app. What you see in Zapier will match your app’s setup.
  • For Go High Level, always use LeadConnector as the app in Zapier.
  • You can add filters or multiple steps in Zapier to build more advanced workflows.
