FieldRoutes Integration Setup & Usage Guide
Phase 1: Back-Office Configuration
Before reps can use the integration in the field, the administrator must link the accounts.
- Enter API Credentials: Navigate to Settings > FieldRoutes. Add your API Key, Token, and Domain URL (the URL used to sign into your FieldRoutes account).
- Add and Edit Branches: Select Add a Branch. If you have multiple locations (e.g., Phoenix, Dallas, Houston), choose the specific branch you are configuring.
- Set Payment Requirements: Toggle options to require AutoPay selection and/or enforce an initial payment at the time of sale.
- Filter Service Types: RepCard pulls all available service types from the FieldRoutes API. Select only the services you want reps to sell (e.g., General Pest) to prevent unauthorized services (such as termite or bed bug treatments).
- Sync Users: Ensure each user’s email in RepCard matches their email in FieldRoutes. Click Sync FieldRoutes User IDs so sales data is assigned to the correct user.
Phase 2: Pricing, Payment Gateway, and Bundle Logic
Setting up pricing tables and payment processing ensures controlled selling behavior and consistent revenue.
1. Create a Pricing Table
Give the table a clear title (e.g., “Summer 2026”) and define pricing logic based on home square footage.
2. Define Frequencies, Billing, and Agreement Terms
- Select service frequencies (Monthly, Bi-monthly, Quarterly)
- Define billing structure (e.g., Quarterly service with Monthly billing)
- Choose agreement lengths (e.g., 2-year or 3-year options only)
3. Set Price Floors and Service Duration
For each square footage range, define:
- Default Price
- Minimum Price (lowest allowable discount)
- Service Duration (used for technician scheduling and route planning)
4. Add Payment Gateway (PayRix / Merchant Account Setup)
To enable payment processing, connect your merchant account:
Step 1: Retrieve Merchant ID
- Log in to the FieldRoutes Merchant Portal
- Navigate to Profile > Account Information
- Copy your Merchant ID
Step 2: Generate Public API Key
- Go to Settings > API Keys
- Click Add API Key
- Name: RepCard
- Status: Active
- Type: Public
- Copy the generated API key
Step 3: Add Gateway in RepCard
- Navigate to Settings > FieldRoutes > Add Branch > Payment Gateway
- Click Add Gateway
- Enter:
- Gateway Name (e.g., “Company PayRix Account”)
- Merchant ID
- Public API Key
- Save the gateway
Once added, you can enable:
- Credit card payments
- Bank transfer (ACH) options
5. Configure Bundles (Optional)
If selling multiple services, apply discounts strategically.
- Discounts can be split across services or applied to a single service
- Best Practice: Apply discounts to add-on services (e.g., Mosquito) so that if canceled, the core service (e.g., Pest Control) remains at full price
Bundles can also be structured to:
- Increase perceived value
- Protect long-term recurring revenue
Phase 3: Scheduling and Leaderboards
- Assign Technicians: In FieldRoutes API settings, assign a route, select a technician, and authorize specific reps or teams to schedule on that route.
- Enable Metrics: Navigate to Leaderboards > FieldRoutes to toggle visibility for tracking metrics. These can be used in RepCard competitions and performance tracking.
Phase 4: Mobile App Execution (The Sales Process)
Once setup is complete, reps follow this workflow in the field:
- Select a Lead: Tap a property on the map, enter customer details, and select Agreement.
- Configure the Plan: Choose the service, input square footage, and select frequency and billing options.
- Apply Pricing: The app displays the standard price. Reps can apply discounts within the defined minimum limits.
-
Payment and Scheduling:
- Enter payment details
- Choose whether to collect the initial service payment
- Select a technician time slot based on real-time availability
-
Sign and Close:
- A contract is generated with all details pre-filled
- The customer signs and initials on the device
- A copy is automatically emailed to the customer
